Job Description Summary:

Clinical Research Operations

  • Coordinate day-to-day activities of investigator-initiated and industry-sponsored clinical trials.
  • Assist with study start-up activities, including regulatory submissions, IRB documentation, study activation, and investigator files.
  • Screen potential research participants and coordinate enrollment activities.
  • Schedule research visits and ensure protocol adherence.
  • Maintain study documentation in compliance with GCP, FDA, NIH, sponsor, and institutional requirements.
  • Track recruitment, enrollment, study milestones, adverse events, and reporting deadlines.
  • Coordinate communication among investigators, study sponsors, CROs, and research participants.
  • Assist with preparation for monitoring visits and regulatory audits.


Epilepsy Surgery Program Coordination

  • Monitor patients progressing through the epilepsy surgery evaluation pathway.
  • Track completion of required diagnostic studies, including EEG monitoring, MRI, PET, neuropsychological testing, and other evaluations.
  • Identify delays in the evaluation process and proactively coordinate with scheduling teams and clinical services to expedite testing.
  • Prepare case summaries for multidisciplinary epilepsy surgery conferences.
  • Track surgical recommendations and follow-up completion.
  • Maintain databases of epilepsy surgery candidates and key performance metrics

Academic Program and Symposium Coordination

  • Plan and coordinate regional, national, and international educational symposia.
  • Identify and communicate with invited speakers.
  • Coordinate travel, lodging, honoraria, and itineraries.
  • Work with conference venues, catering, audiovisual vendors, and institutional offices.
  • Assist with CME-related documentation when applicable.
  • Develop meeting timelines and coordinate event logistics.
  • Maintain communication with attendees and faculty before and after meetings.

Administrative and Program Support

  • Prepare reports and dashboards related to research productivity and epilepsy surgery metrics.
  • Maintain research databases and tracking systems.
  • Coordinate departmental meetings related to research initiatives.
  • Assist with grant-related administrative activities.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position and support the Department's mission.
Minimum Qualifications:
Qualified candidates will hold a BA/BS and 2 years of experience in a related discipline. Degree must be conferred by the start date of the position. Certification preferred.
Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications:
Preferred Qualifications:

  • Experience coordinating clinical trials in a neurology, neurosurgery, or specialized academic medical center setting, including familiarity with IRB submissions, GCP guidelines, and electronic data capture (EDC) systems (e.g., REDCap, OnCore) is desired.
  • Prior background navigating complex multidisciplinary patient care pathways or surgical evaluation processes (specifically in epilepsy, neurology, or complex surgical programs), including experience organizing case conferences and tracking key performance indicators (KPIs) is preferred.
  • Advanced proficiency with database management, research tracking tools, and data visualization software to prepare productivity reports and support grant-related administrative tasks.


Hiring Range $44,985.20 - $69,587.07
