THE POSITION

As an Administrative Assistant 1 with the Department of Transportation, you will play an essential part in keeping the Bureau running efficiently. This job gives you the opportunity to assist with purchasing, budgeting, and daily office needs. You will help staff respond to requests, track tasks, and maintain organized systems. This role fits someone who likes fast-paced work and steady responsibility.



DESCRIPTION OF WORK

This position supports the Bureau by coordinating administrative tasks, assisting staff, and managing information across multiple office functions. The role helps ensure smooth workflows, organized records, and timely responses to daily needs. As an Administrative Assistant 1, you will perform the following duties:

  • Purchasing Support: Review requisitions, assist staff and vendors, and process procurement actions in required systems
  • Budget Assistance: Support budget tracking, adjustments, and communication with staff
  • Invoice Processing: Review and process invoices, resolve errors, and track payments in the system
  • Project Coordination: Assist with preparation of annual work programs and budget estimates
  • Administrative Tasks: Organize files, track assignments, and support daily office operations
  • Communication Support: Prepare correspondence, manage inquiries, and coordinate Right to Know requests

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 7:30 AM to 4:00 PM, Monday - Friday, with a 60-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time. Additional details may be provided during the interview.
  • Salary: In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Such training as may have been gained through graduation from a four year college or university or any equivalent combination of experience and training.

Additional Requirements:

  • Must have Microsoft Office experience particularly Word, Excel, Teams, and Outlook.
  • Must have experience with the Commonwealth's Supplier Relationship Management (SRM), SAP/ESS system.
  • Must have experience related to purchasing or invoicing, and basic budgeting knowledge.
  • You must be able to perform essential job functions.
