JOB SUMMARY, DESCRIPTION & QUALIFICATIONS:

Job Summary

The Advising and Accessibility Specialist serves as the point of first contact for the Advising and Transfer Center. This position provides high-level administrative support for the Advising and Access and Accommodations teams while triaging student needs, managing intake processes, and ensuring efficient workflow across both service areas.

This role assesses walk-in and virtual inquiries, determines the appropriate next steps, and directs students to the correct advisor or accommodation specialist. The position plays a critical role in maintaining service efficiency and enhancing the student experience.

Essential Functions and Responsibilities

The following duties are primarily performed and are essential for this position. Employees are expected to be able to perform each of these job duties satisfactorily and successfully with or without reasonable accommodation.

Student Triage and Front-line Coordination:

  • Serve as the primary point of contact for the Advising and Transfer Center, processing walk-in, phone, and virtual inquiries.
  • Assess student needs and determine appropriate routing (advisor, immediate issue resolution, or appointment scheduling).
  • Prioritize urgent student matters and escalate time-sensitive concerns appropriately.
  • Provide accurate information regarding advising processes, transfer procedures, and accommodations policies.
  • Manage daily student traffic flow to maximize staff efficiency and minimize wait times.
  • Offer functional support to assist students in self-service activities that include self-enrollment and self-referral to campus resources.

Administrative Support:

  • Coordinate appointment scheduling and calendar management for advising staff, vetting student appointments as necessary.
  • Maintain records, reports, and documentation within institutional systems.
  • Support outreach initiatives, registration campaigns, and student communications.
  • Prepare materials for advising workshops, orientations, and events.
  • Assist with intake processes for students requesting accommodations, coordinating appointments and gathering appropriate documentation.
  • Maintain confidential records in compliance with FERPA, ADA, and institutional policies.
  • Support tracking of accommodation requests and documentation timelines.
  • Assist with client reporting to support grant-related activities.

Operational and Process Support:

  • Utilizes AI and emerging technologies, as appropriate, to enhance daily workflow efficiency, improve service delivery, and support accurate and timely completion of responsibilities in alignment with institutional guidelines.
  • Support data tracking related to student volume, service trends, and response times.
  • Assist with special projects and cross-functional initiatives within Student Services.
  • Maintain shared resources, digital forms, and office communications.
  • While the position description outlines the essential functions and responsibilities of the position, staff may be called upon to assist with tasks or projects in other areas of Student Services and the College as needed in support of institutional goals and student success.
  • While the primary work schedule is during standard business hours, occasional evening and/or weekend hours may be required to support student needs, college events, and operational success.
  • Work is primarily conducted at the NTC Wausau Campus but occasional travel to regional campuses or Centers of Excellence may be required to meet support students, ensure adequate coverage, and participate in training or other operational activities.

Minimum Qualifications Required

In limited circumstances, NTC may consider a combination of education, training, and experience which provides the necessary knowledge, skills, and abilities to perform the duties of this position.

Education: Associate's Degree (or Equivalent)

Two years of post-secondary education appropriate to the position responsibilities, or equivalent knowledge and skills gained through occupational experience.

Experience:1 Year

Additional Experience Information:

Experience in academic advising, disability services, or student support environments and knowledge of ADA/504 compliance basics preferred.

Knowledge, Skills and Abilities

Ability to read, write and comprehend simple instructions, emails and memos; discuss information one-on-one and in small groups.

Ability to actively listen, discern key information, and respond professionally; ask follow up or clarifying questions to diffuse escalated situations and offer appropriate problem resolution when necessary.
