Job Description

JOB SUMMARY

This position provides essential administrative and operational support to the Office of Clinical Experience and serves as a primary point of contact for teacher certification candidates and K-12 school partners. The Coordinator manages practicum placement processes, partnership agreements, records, and routine communications to help ensure organized, high-quality clinical learning experiences. The role works closely with the Director of Clinical Operations and the Student Coordinator for community agency placements and reports to the Director of Teacher Education.

PRIMARY RESPONSIBILITIES

Placement Coordination and Candidate Support - 25%

* Coordinate practicum and teacher certification placement processes, including collection, review, and tracking of placement information and required documentation.

* Serve as a primary contact for candidates regarding placement timelines, requirements, status updates, and routine questions.

* Identify incomplete or time-sensitive items and follow up with candidates and appropriate staff to support timely placement completion.

K-12 School Partnership Support - 25%

* Communicate with K-12 school partners regarding placement availability, candidate assignments, site requirements, and logistical details.

* Support consistent, responsive relationships with partner schools by maintaining accurate contact information and documenting key communications.

* Coordinate routine placement changes or concerns with the Director of Clinical Operations and other appropriate stakeholders.

Agreement, Data, and Records Management - 25%

* Maintain organized and accurate records for practicum placements, partnership agreements, candidate assignments, and related correspondence.

* Track the status, renewal, and completion of partnership agreements and route documents to the appropriate parties for review or signature.

* Use university systems, shared files, spreadsheets, and other technology to enter data, monitor deadlines, and prepare routine reports or summaries.

Office Operations and Collaborative Support - 25%

* Provide day-to-day administrative support for the Office of Clinical Experience, including scheduling, document preparation, correspondence, and general workflow coordination.

* Work closely with the Director of Clinical Operations and the Student Coordinator for community agency placements to align processes and address operational needs.

* Assist with process improvements, special projects, meetings, and other activities that support effective clinical experiences and external partnerships.

As with all positions, may perform other job-related responsibilities as needed to support departmental and campus-wide needs.

WORKING CONDITIONS & PHYSICAL REQUIREMENTS

Work is primarily performed in a professional office environment with frequent computer use and regular interaction with students, faculty, staff, and external K-12 partners. The role requires prolonged sitting, routine use of standard office equipment, and occasional movement of light materials or files. The position involves sustained attention to detail, management of multiple deadlines, and professional communication regarding placement needs and requirements.

SUPERVISORY RESPONSIBILITIES

This position does not have formal supervisory responsibilities.

Shift

40 hours/week. Monday thru Friday.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

Experience with K-12 schools and related systems.

Anticipated Hiring Range

$21.00/hour
