Job Description

Provides higher-level administrative, analytical, financial, reporting, and project support to the Transportation Officer and Transportation Branch Manager. Uses Maximo, SharePoint, IRIS, and other approved systems to prepare management reports, reconcile financial activity, administer document controls, and track branch deliverables. This position does not perform operational vehicle maintenance or repair coordination, or other work reserved for bargaining-unit positions under the applicable collective bargaining agreement or established past practice.

Duties and Responsibilities

* Prepare branch-level fleet performance dashboards, trend analyses, and management summaries for the Transportation Officer and Transportation Branch Manager
* Reconcile fleet-related Voyager billing statements, research discrepancies, and coordinate administrative corrections with Finance and authorized cardholders
* Analyze transportation operating data to identify utilization trends, financial variances, service patterns, and opportunities for administrative improvement
* Coordinate administrative communications with Code fleet representatives and customers regarding reports, account information, and documentation requirements
* Generate management reports from Maximo and other approved systems, conduct data-quality reviews, and refer operational corrections to management or the responsible bargaining-unit employee
* Maintain Transportation Branch SharePoint sites, administrative repositories, correspondence logs, and records in accordance with the Branch File Plan and agency requirements
* Reconcile fleet inventory reports, document variances, and provide findings to the Transportation Officer without performing operational vehicle-control activities
* Compile administrative documentation requested by management for procurement planning and budget analysis without establishing maintenance-provider purchase orders or coordinating repair services
* Prepare and distribute monthly fuel-consumption reports and analyze exceptions or unusual trends for management review
* Maintain vendor invoice logs, verify administrative completeness and coding, monitor payment status, and route invoices through approved financial workflows
* Administer Voyager account controls, including PIN assignments, credit-limit documentation, and decline resolution, within delegated authority
* Track contract deliverables and provide project and administrative support, provided the work is not reserved for bargaining-unit positions under the applicable collective bargaining agreement or established past practice

Qualifications
Required Skills and Qualifications

* Minimum of 3 years' experience in fleet servicing administration or similar field
* Excellent verbal and written communication skills, including the ability to prepare clear management reports, correspondence, and presentations
* Highly developed analytical, critical-thinking, financial-reconciliation, and problem-solving skills
* Strong organizational, project-tracking, and document-control skills with close attention to detail
* Ability to exercise sound judgment, maintain confidentiality, and work effectively with management, customers, Finance, Procurement, and represented employees
* Intermediate or advanced proficiency in Microsoft Excel, PowerPoint, Outlook, Teams, and Word
* Experience using enterprise business systems and preparing data analyses, dashboards, and performance reports
Preferred Skills and Qualifications

* Bachelor's degree
* Experience in transportation administration, fleet analytics, financial reconciliation, contract support, or a related administrative field
* Experience with Maximo, SharePoint, IRIS, Voyager, or comparable enterprise systems
* Experience supporting federal government operations, preparing management reports, or coordinating administrative projects

* The work for this position is performed in an environmentally controlled office space
* Must be capable of sitting and entering data on a computer keyboard for extended periods of time
* Must be able to view a computer monitor for extended periods of time

* Must possess a high school diploma or equivalent
* Must possess a valid driver's license, without special restrictions

Rate of Pay/Benefits

Hourly Rate: $31.25-$36.06
