Order Administration Supervisor (SSO Division - Location: Irvine, CA)

Position Summary

The Order Administration Supervisor/Lead supports and develops the Order Management Specialist/Admin Specialist team within Services and Support Operations (SSO), ensuring the quality, timeliness, accuracy, and compliance of the order management function. This role advocates for the team's continuous improvement, coordinates daily workload and priorities, and serves as an escalation point for complex order, customer, and process issues, while directly supporting the Military aftermarket team's order processing, customer support, and administrative needs.

Has Direct Reports: Yes - supervises/leads Order Management Specialists.

Supervisory/lead responsibility includes, but is not limited to, training and developing team members, assigning and balancing workload, coaching and counseling employees, monitoring performance against objectives, and identifying process or compliance issues for corrective action. This role interacts regularly with internal teams - including military business teams, contracts, pricing, finance and division operations - as well as with customers and outside contacts.

Essential Functions:

  • Supervise and direct the daily work activity of Order Management Specialists/Admin Specialists; distribute and balance workload appropriately across the team.

  • Coach, train, and develop team members; support onboarding and cross-training to build depth and consistency in order management practices.

  • Oversee the processing and management of customer orders, ensuring accuracy and timely fulfillment in accordance with Customer Service Administrators' flow-down instructions and terms and conditions of purchase orders/maintenance agreements.

  • Serve as an escalation point of contact for customers and internal teams to resolve complex order status inquiries and order-related challenges.

  • Collaborate with internal teams - military business teams, contracts, pricing, finance and division operations - to address order-related challenges, prioritize requests, and commit to reasonable production and/or provisioning lead-times.

  • Review and approve the release of repairs to production upon customer approval, ensuring work orders are submitted to the scheduler and sales orders are updated accurately.

  • Manage and monitor customer portals across the team, including purchase order downloads, status updates, and expedite requests.

  • Compile, analyze, and review data and reports using mathematical calculations to support broader reporting and project needs; ensure inquiries into specific problems (e.g., delays) are resolved and objectives are being met.

  • Communicate potentially negative situations to management in a constructive, solutions-oriented manner.

  • Ensure the team reviews and highlights action items in incoming correspondence, attaches relevant files/information, and drafts timely, accurate responses for review and signature.

  • Maintain and audit accurate records of orders, invoices, and pertinent information across the team to ensure compliance with company policies and industry regulations.

  • Support and oversee administrative functions such as data entry, reporting, and document organization.

  • Ensure team compliance with relevant Aerospace, Government, and Company policies; conduct periodic reviews/audits of team output.

  • Identify and champion continuous improvement opportunities within order management processes to reduce cycle time and improve accuracy. Develop and maintain standard work across processes.

Qualifications:

  • Minimum of five years of experience in order management, customer service, or administrative support, preferably in aerospace or manufacturing, including prior lead or supervisory experience.

  • Strong proficiency in ERP systems and Microsoft Office suite.

  • Excellent organizational and leadership skills, with the ability to manage multiple priorities across a team.

  • Detail-oriented with a strong focus on accuracy, efficiency, and process compliance.

  • Bachelor's degree in business or a related field preferred.

  • Working knowledge of R-Card, MSS (Parker proprietary MRP system), and WAWF knowledge preferred.

  • Experience with customer forms and systems preferred - DD1149, 2410, 2408, CAVS, etc.

  • Demonstrated effective verbal, written, and interpersonal communication skills, with the ability to coach and develop others.

  • Ability to work effectively with others and lead a participative team.

  • Ability to navigate customer portals, retrieving orders, updating portals with Parker promise dates, and managing portal backlog accuracy, including delivery dates, quantities, and price.

  • Excellent Microsoft Excel skills, including Formula, Vlookup, and Pivot Table.

  • Demonstrated leadership abilities and proficient computer skills; must have the ability to effectively work with people at various levels of the organization.

  • Pay Range: $70890 to $117300 annually
  • Participation in Annual Incentive Program
