Job Description Summary

Under general supervision, the Admissions Assistant provides administrative, logistical, and project support to members of the international recruitment team and Operations staff. This position is responsible for the accurate and timely entry, verification, filing and management of undergraduate applications to Wake Forest University and supporting documents for prospective and enrolling students, with special attention paid towards international applicants. As a member of the Admissions Support team, the Admissions Assistant may be asked to direct phone and email traffic at various points throughout the year and offers reception support as needed. The Admissions Assistant would contribute to a welcoming and enriching office environment by welcoming visitors to campus, implementing procedures to support international recruitment, and maintaining administrative systems during application review. This position is primarily in an office setting within a high traffic workplace environment.

Job Description

Essential Functions:

  • Handles application processing for international students, including managing application documentation, English proficiency requirements, and confidential financial information. May also verify and input data for applicants. Ensure accurate data is reflected in CRM during each part of the recruitment process (i.e. application completion, application review, decision release and enrollment).
  • Serves as the primary point of contact for international applicants in answering specific application processing questions via phone, email, and regular mail. Makes appointments and makes referrals, as necessary. Responsible for managing confidential correspondence: letters, memos and cards. Assembles documents for international students and sends hard copy mailings through international shipping services. Identifies cost efficient services to be used when sending items to international locations.
  • Supports a robust optional personal interview and video processing experience for applicants in each admissions cycle. This includes scheduling virtual interviews with undergraduate applicants, coordinating staff calendars, resetting video submission timelines upon request and conferring with the Admissions team during the interview approval period.
  • Responsible for specific Admissions related data processing tasks at certain times of the year as determined by the Operations team. Ensure accurate data is input and reflected in all student admissions educational records.
  • As a member of the Admissions Support Team, responds to telephone calls, emails and mailings from the public to the Office of Undergraduate Admissions.
  • Supports efforts to welcome visitors, and check in prospective students and their families for on-campus programming.
  • Serves as a liaison with internal and external constituencies on a range of issues related to student enrollment and international support.
  • Provides assistance in understanding and interpretation of university policies and procedures, as appropriate, and ensures that office operations are in compliance with policy provisions and standards.
  • Assists with administrative duties and support activities associated with international student support.
  • Coordinates and may conduct evaluative interviews with international students for admission and/or scholarship consideration.
  • Assists with programming and event planning (internal and external constituencies).
  • Performs other related duties as required to promote effective functioning of the Admissions Office and international recruitment.

Required Education, Knowledge, Skills, Abilities:

  • Two years of related work experience or specialized training or an equivalent combination of education and experience.
  • Excellent interpersonal, communication, and time management skills.
  • Proficiency in Microsoft Office, the internet, and other relevant software.
  • Ability to organize workflow and coordinate activities.
  • Exemplary data entry and record maintenance skills.
  • Ability to meet deadlines in a high-volume office environment.
  • Ability to handle sensitive information in a confidential manner.
  • Ability to understand and follow specific instructions and procedures.
  • Ability to work occasional weekends as needed.
  • Ability to maintain effective customer relations.

Preferred Education, Knowledge, Skills, Abilities:

  • Associate's degree or higher with three or more years of related experience and progressively more responsible or expansive university work experience in confidential office protocol, or an equivalent combination of education and experience.
  • Knowledge of Slate Technolutions, Workday, and SEVIS
  • General understanding of international student visa process
  • Familiarity with international documentation and services
