DEPARTMENT OVERVIEW

Research and Innovation (R&I) brings together people and resources from across our campuses and partner institutions around the world: to organize around common challenges and opportunities; advocate for research needs, policies, and resources; and maximize the effectiveness and impact of research and innovation across the University of California and the State. R&I works closely with systemwide stakeholders such as the Council of Vice Chancellors for Research and the University Committee on Research Policy and draws on experts from across the UC system and State of California to plan and implement initiatives and programs.

POSITION SUMMARY

This is a TEMPORARY position within our Temporary Office of the President Staffing (TOPS) program.

KEY RESPONSIBILITIES

Scheduling and Calendar Management:

  • Schedule meetings, appointments, conferences, and travel arrangements for the CEO and COO
  • Flag conflicting schedule requests and suggest resolutions based on importance and urgency
  • Coordinate attendee schedules and send meeting invitations/details
  • Book meeting rooms, facilities, equipment, and catering as needed
  • Manage and maintain up-to-date CEO and COO calendars To-Do List and Decision Prep Coordination
  • Work closely with the COO and others to prioritize tasks and compile to-do lists with input from other key team members
  • Gather necessary information, documentation, and prep materials for key decisions
  • Follow up on outstanding tasks and ensure timely completion
  • Communicate shifting priorities to executives clearly and efficiently

Email Management:

  • Respond to basic inquiries with standardized responses
  • Triage incoming messages and direct them to the appropriate executive

General Administrative Duties:

  • Handle Stakeholder messaging professionally
  • Make travel arrangements such as flights, hotels, ground transportation, when necessary, through standard UCOP procedures
  • Submit expense reports for travel and events-related expenses
  • Maintain strict confidentiality of sensitive UC information

MINIMUM QUALIFICATIONS AND DUTIES

  • 5+ years' experience as an Executive Assistant or similar administrative role
  • Strong written, verbal and communication abilities
  • Highly organized with superb time management skills
  • Proficient with MS Office, Box, G Suite, Zoom, Asana, Slack, calendar/scheduling tools
  • Able to work independently with minimal supervision
  • Exercise utmost professionalism, discretion, judgment, and confidentiality
  • Enthusiasm for renewable clean energy for California (and the world!)

EDUCATION

  • Bachelor's degree or equivalent experience

SPECIAL CONDITIONS

This position is eligible for a hybrid work arrangement within the state of California. OR

This position is eligible for a hybrid/remote work arrangement within the state of California. The selected candidate must reside within the state of California, or be willing to relocate, and will be required to report to work in person in Oakland, CA on a regular schedule.

SALARY AND BENEFITS

The University of California, Office of the President, is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs It is not typical for an individual to be offered a salary at or near the top of the salary grade for a position. PayScale/ budgeted hourly range: $29.31/hour - $39.85/hour. Salary offers are determined based on final candidate qualifications and experience.

Full Hourly Range: $29.31/hour - $50.38/hour
