Job Description

As a member of the Advancement Services team and reporting to Assistant Vice Chancellor, Advancement Services, the Assistant Director of Data Management takes a leading role in managing projects through the development, implementation and execution of functional database and process improvement initiatives that support the routine functions and strategic work of the University of Missouri-St. Louis Division of Advancement.
The Assistant Director is also responsible for data management activities such as imports from internal and external data sources, creating UMSL best practices for data entry and functional planning for the development of business intelligence reporting and insights that is used campus-wide in support of Advancement strategic efforts. This position is a strong partner to the UMSL IT team, ensuring data integrity and security and that all processes and information sharing practices are aligned and consistent with university best practices.

Responsibilities

  • Works with the AVC to develop and communicate a comprehensive strategy for data management and audit aligned with organizational goals; stay informed about industry trends in Advancement and Higher Education, emerging technologies, and best practices to achieve personal and team goals.
  • Identifies and solves complex, operational, and organizational problems, leveraging the appropriate resources within or outside the department.
  • Oversees operational activities, programs, and/or communications strategies, fostering a culture of innovation, collaboration, and excellence. Additionally, provides strategic direction and guidance to ensure successful execution of projects; works closely with Advancement Services IT team to align data infrastructure initiatives with overall technology architecture and standards.
  • Assists with creation, maintenance, and evaluation of data sets, validation tables, and the expression of business practice within the relational database toward a streamlined end user experience and efficient UMSL operations best practice. Applies problem-solving skills and data mining techniques to identify and/or address anomalies.
  • Protects the integrity of and mitigates risk to data through the creation and implementation of audits and best practices for Advancement data management. Audits and organizes large data sets, collaborating internally to foster enhanced data accuracy for operational, reporting, and analytical purposes.
  • Helps the AVC, Advancement Services and IT Leadership to develop, manage, and accomplish the Top Priorities for the reimplementation and functional data maintenance of the relational database (currently CRM Advance).
  • Assists with the planning of data imports, exports, and the creation of standardized business insights. Collaborate with internal and external stakeholders to understand their needs, challenges, and opportunities for data; establish staff training program to ensure the successful adoption and utilization of policies and procedures.
  • Serves as subject matter expert for data collection, security and privacy and provides guidance to ensure data submissions and extractions are consistent and accurate for internal and external use, including data management and security policies, standards, and procedures.
  • Works closely with data stewards to accurately capture data needs and usage for translation into database and reporting best practice for UMSL.
  • Participates in assigned team and leadership-level meetings internally and campus-wide. Serves as an expert on data collection and the Advancement CRM. Develops and submits Annual Business Plan, identifying key metrics and milestones necessary to achieve annual goals.
  • Manages one or more team of professionals, setting individual annual goals and ensuring performance outcomes are achieved.Offers proactive and consistent mentoring and training to staff to ensure best practice knowledge and implementation.
  • Performs other duties as assigned.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary

  • At least 4 years of experience preferred, including personnel management and team leadership.
  • Proficient in use of reporting software, specifically Excel and PowerBI.
  • Proficient with CRM Advance and/or functional relational database management.
  • Must be able to maintain data management standards including data confidentiality, data entry requirements, and accessing reporting tools.
  • Must have a high level of independence in accomplishing the responsibilities of the position.
  • Ability to serve as a translator between campus stakeholders and technical groups.
  • Knowledge of higher education and university advancement operations.
  • Must be able to use sound judgement and discretion.
  • Strong organizational and time management skills.
  • Ability to work independently while also working as a member of the University Advancement team.
  • Ability to respond effectively to sensitive inquiries and complaints.
  • Ability to troubleshoot technical issues
Anticipated Hiring Range

Pay commensurate with education and experience.
Hiring Range: $58,573-$68,000 Annual
Grade: GGS-11
