Location: This position will be on-site full-time in Chicopee, MA. The position holder will need to be within commuting distance (within 45 min).

Sales Coordinator Summary:

The Sales Coordinator is responsible for supporting the sales department with administrative tasks and projects.

Sales Coordinator Duties and Responsibilities:

  • General office duties, including phone and email management.
  • Supports field representatives, including but not limited to:
    • Generates and distributes product quotes.
    • Maintains inventory of marketing supplies.
    • Assists with procurement of sales and marketing material.
    • Ships sales and marketing supplies.
    • Compiles and sends product information via email and hard copy.
    • Generates reports showing current financials of products.
    • Generates and distributes daily sales reports.
  • Provides client service and support, including but not limited to:
    • Processes and manages sales orders.
    • Monitors shipping progress and helps to rectify shipping exceptions.
    • Prepares for client visits, coordinating logistics.
  • Manages and updates client database.
  • Identifies selling opportunities and works closely with the sales representatives to increase sales in their respective accounts.
  • Manages shipment of samples.
  • Attends and participates in sales meetings, training programs, conventions, and trade shows as directed.
  • Interacts with all personnel on the execution of Company programs.
  • Assists in maintaining, updating, and creating Power Point Decks.
  • Scribe duties:
    • Transcribes notes that accurately reflect the decisions and discussion that took place during the meeting in an agreed format (whether electronically or in hard copy) so that information can be easily discerned, and communications are clear, thus avoiding any confusion. Responsibilities and ownership must be clearly indicated within the minutes.
    • Copies and distributes the minutes to all relevant people as detailed in the Participants section.
    • Ensures that a copy is filed appropriately, keeping all minutes together in a file for future reference.
  • Provides assistance on process and design proposals.
  • Plans and coordinates customer meetings and functions.
  • Creates cost proposal scenarios and manages the collection and organization of cost data into A to B to C analysis, etc.
  • Performs other duties as assigned.

Sales Coordinator Qualification Requirements:

  • High School diploma, or general education degree (GED), and 1-2 years' office work experience. Sales experience is a plus.
  • Strong comprehension and execution skills.
  • Pleasant and welcoming demeanor.
  • Strong Microsoft Outlook, Word and Excel skills.
  • Must have the ability to communicate clearly and effectively both verbally and in writing.
  • Must have strong attention to detail and analytical and problem-solving skills.
  • Able to work independently, work well under pressure with an appropriate sense of urgency, and multitask.
  • Strong organizational skills.
  • Detail oriented and accurate.
  • Strong written and verbal communications skills.
  • Excellent interpersonal skills required.
