Job Overview:

The Mailroom Messenger at Cooperman Barnabas Medical Center plays a crucial role in managing the mailroom operations efficiently and ensuring the timely and accurate processing of incoming and outgoing mail. The Mailroom Messenger position is instrumental in maintaining the smooth functioning of the mailroom operations, adhering to stringent postal guidelines, and upholding the confidentiality and security of all mail-related activities.

Qualifications:

Required:

  • High School Diploma or Equivalent
  • Successful completion of all orientation programs

Preferred:

  • Postal/Mailroom Experience

Scheduling Requirements:

  • Shift Working: Monday-Friday, 7:30AM-3:30PM
  • Day Shift
  • Per-Diem, Based on Business Needs

Essential Functions:

  • Demonstrating flexibility by being willing to handle unplanned assignments as necessary
  • Identifying patient mail and forwarding it to the Volunteer Department for delivery
  • Identifying and escalating suspicious packages to the Director of Security
  • Maintaining a separate area for processing incoming and outgoing mail to ensure organizational efficiency
  • Keeping a manifest of all incoming/outgoing Certified and Express Mail
  • Maintaining a neat, safe, and secure working environment, ensuring the mail center is secured after business hours
  • Establishing a recordkeeping system that upholds confidentiality and sensitivity of information
  • Monitoring and restocking supplies, promptly notifying the immediate supervisor of any replenishment needs
  • Managing postage permit logs for Bulk Mail, Business Reply, and Postage Due Accounts, alerting the supervisor when funds require replenishment
  • Monitoring mail usage to prevent misuse of company postage by employees for personal use
  • Preparing and processing Nonprofit mailings in accordance with U.S. Postal Service guidelines
  • Ensuring the accurate processing of all outgoing mail daily, sorting and distributing mail to the appropriate departmental slots
  • Properly identifying and returning mail for personnel who no longer work for the Medical Center
  • Notifying the supervisor when the postage mail meter needs replenishing and ensuring the secure storage of postage meters when not in use
  • Performing duties independently, reporting challenging situations to the immediate supervisor
  • Operating mail machines safely and efficiently
