Job Summary

Reporting to Sterile Processing department leadership, the Instrument Coordinator collaborates with OR leaders and SPD staff to maintain electronic database of tray information and arrange appropriate upgrades. Upgrades may include creating new trays, increasing or decreasing par levels of current trays, and any necessary changes to the tray listings. They will be responsible for ordering all instrumentation and equipment for the department, and managing loaner equipment/trays while items are out for repair. Must be able to float and work in CSPD as a Sterile Processing Tech as needed. The position requires working within the standards and guidelines of multiple industry agencies (including, but not limiting to TJC, AAMI, FDA, CDC).

Accountabilities

  • Maintains the tray inventory in the electronic tracking system, including increasing or decreasing par levels of current trays and any necessary changes to the individual tray listings. Ensures bar code labels are assigned to every set. 25%

  • Orders any instrumentation or equipment needed for the department. May also be responsible for ordering disposables used in daily departmental activities. Receives shipments from receiving area/storeroom and ensures items are properly stored. 25%

  • Coordinates basic repairs with the on-site instrument repair company and sends out any advanced repairs to the appropriate off-site vendor. Manages all loaner instruments and equipment to ensure they are ordered on time to prevent case delays and returned within the appropriate timeframe. 15%

  • Maintains basic instrument inventory for back stock and organizes instruments in proper location for ease of identification and reordering. May also be responsible for monitoring par levels in various storage areas. 15%

  • Assists central sterile processing staff in locating and replacing missing surgical instrumentation so that sets are complete at all times. Tracks and finds missing instrumentation and orders replacements if necessary. 10%

  • Works collaboratively with all levels of the perioperative surgical team to ensure availability of instrumentation for their procedures. Assists the OR Liaisons if applicable. 5%

  • Performs the duties of a Sterile Processing Technician during times of staff shortages. 5%

Supervisory/Management Responsibilities

This is a non-management job that will report to a supervisor, manager, director or executive.

Minimum Requirements

  • Job related course work beyond high school -Successful completion of a Sterile Processing, Surgical Tech or Dental Assistant Training program.

    • 3 years -Sterile processing or OR experience

      Required Certifications, Registrations, Licenses

      Certification as either:

      CRCST (Certified Registered Central Service Technician) from HSPA (Healthcare Sterile Processing Association); OR

      CSPDT (Certified Sterile Processing & Distribution Technician) from CBSPD (Certification Board for Sterile Processing & Distribution) is required.

      Certification as CIS (Certified Instrument Specialist) from HSPA or CSIS (Certified Surgical Instrument Specialist) from CBSPD is preferred.

      Applicants without CIS or CSIS certification will be required to obtain certification within 6 months of hire.

      In Lieu of

      In lieu of job related coursework only, will accept HSD or GED and 4 years related experience.

      Knowledge, Skills or Abilities

      • Comprehensive knowledge of sterile processing and familiarity with daily operations in surgical services.

      • Experience with an electronic tracking system for central sterile processing (ex: Censitrac, SPM)

      • Ability to identify various types of surgical instrumentation.

      • Knowledge of decontamination, assembly, packaging and sterilization procedures.

      • Experience working with various sterilization devices

      • Basic computer skills including word processing, spreadsheets, databases and data entry

      • Knowledge of office equipment (fax/copier)

      • Mathematical skills

      • Certification as a surgical technologist. - Preferred
